Summary
Performs standard secretarial and office duties, specialized typing assignments that requires rapid and accurate typing of technical material and/or advanced text processing functions of a complex technical nature for the support of the technical and administrative units.
Typical Duty
Secretarial assistance to the overall management of SWS International projects.
Prepare technical documents using Word, Excel, PowerPoint and MS Project.
Perform general office work (follow up on files, prepare call for tender documents, draft letters, etc.).
Ensure documentation control (project files, CVs, forms, etc.).
Non-technical coordination with the project team, Client and sub-consultants.
Provide support to Project Managers in the preparation and compilation of various project documents such, sub-consultants contracts, technical documents and reports.
Provide support to Project Managers in the recruitment of Experts activity.
Makes and schedules of travel arrangements, according Contracts requirements.
Provide the updating of the control cost summary of each job (commessa), including reimbursable cost of our internal Project Managers for on-site missions and direct cost required for running the projects.
Responsible for document control: establish and maintain the project filing in accordance with the Quality Management System.
Organise and follow-up timely project document deliveries.
Handle project queries / communication in the absence of team members.
Preparation and the distribution of controlled project documents such as Project Quality Procedures / Change control forms.
Job requirements
University Decree preferably in management
Excellent knowledge of Word, Excel and PowerPoint
Not necessary previous experience in a similar position
Perfect proficiency in written and spoken English (French an asset)
Strong organizational skills and attention to detail, sense of creativity, ability to manage stress and juggle priorities, great flexibility; takes initiative and can work independently.
